What a credit note is for

A credit note reduces what a customer owes on an invoice that has already been issued. It exists because you generally cannot delete or rewrite an invoice once it has gone out: the original stays as it was, and the credit note is the separate document that cancels part or all of it.

That is why editing the original invoice is the wrong fix. Two versions of the same invoice number circulating is exactly the situation a credit note prevents, and it is the version your customer already filed that their accounts will be reconciled against.

  • The invoice number being credited, so both documents can be matched
  • The reason — return, overcharge, cancellation, damaged goods
  • The lines being credited, which may be some of the invoice, not all
  • Tax credited alongside the amount, at the rate the invoice used
  • A total presented as a credit, never as a balance due

A worked partial credit

Most credit notes reverse part of an invoice, not the whole thing, and the part people get wrong is the tax. Credit the tax at the rate the original invoice charged, on the amount being credited — not on the invoice total, and not at whatever rate applies today. Tax is calculated per line and rounded there, then the lines are added, which is the same order the editor above uses.

Tax is $30.53 on the chairs and $3.71 on the delivery line, which add to $34.24. The customer now owes the original invoice total less $449.24. The invoice itself is unchanged, which is what lets both documents be filed against each other.

Credit an invoice you already made

If the invoice was created here, open it and convert it. The credit note keeps the customer and the line items, carries the invoice number across as the reference, and starts with the full invoice contents so you can delete the lines you are not crediting.

The invoice stays in your list untouched. Both documents can be produced separately when either is asked for.

Credit note, debit note, refund or discount?

These four are used interchangeably and mean different things to the person receiving them.

Credit note
You reduce what the customer owes you. Issued by the seller against a specific invoice, and it stands as a document in its own right.
Debit note
The buyer tells the seller they intend to pay less, usually before a credit note is issued. It requests the credit rather than granting it.
Refund
Money physically returned. A credit note may lead to a refund, or it may just reduce the balance on an unpaid invoice — those are different outcomes.
Discount
Applied on the invoice before it is sent. Once the invoice has gone out, the same reduction has to be made by credit note instead.
