What a rent receipt has to say

A rent receipt is a payment receipt with two extra facts a generic receipt does not carry: the property the money is for, and the rental period it covers. Without the period, the document cannot say which month’s rent it settles, and a tenant who paid March but is asked about March has nothing to point at. With it, both sides file the same fact.

Landlords tend to discover this at deposit disputes and tax time, when a stack of bank transfers has to be turned back into months. A receipt written at the moment the money arrives, naming the period, removes the reconstruction entirely.

  • The landlord or agent receiving the money, and the tenant paying it
  • The property address the rent is for, exactly enough to identify the tenancy
  • The rental period covered — the month, week or term the payment settles
  • The amount received, in figures and in words the way a cheque writes it
  • How it was paid — transfer, cash, card, cheque — and the date it arrived
  • A received-by line with the signature, name and date of whoever took it
  • The balance remaining, if the payment was only part of what was due

A worked month

One month’s rent, paid by bank transfer a day early. The line names the period so the line item and the receipt’s rental period agree, and the tenant files it against March without thinking.

No tax line: residential rent is typically not taxed the way goods and services are, and the editor leaves tax off the sample. Whether anything must be declared, and by whom, depends on where the property is and how the landlord is registered — this tool produces the document, not tax advice.

Rent receipt, invoice, statement or deposit slip?

These four change hands between landlords and tenants constantly, and each one proves something different.

Rent receipt
Confirms rent has been received for a named period. Issued after payment, never before, and states the property and the period.
Rent invoice
Requests the rent before it is paid. Carries a due date, which a receipt does not, and proves nothing about money received.
Statement
Lists every charge and payment on a tenancy over a period. It is a summary, not evidence that any single month was paid.
Deposit slip
Records money held as security, not rent paid. Mixing deposits and rent on one document is how deposit disputes start.
