What a debit note is for

A debit note increases what a customer owes on an invoice that has already been issued. Like its credit sibling, it exists because the original invoice stays as it was: the debit note is the separate document that adds to it, referencing the invoice number, date and total so both documents reconcile.

Common triggers are undercharges found after sending, extra work agreed verbally and billed late, and rate corrections. In each case the alternative — quietly editing a sent invoice — leaves two versions of one number circulating.

  • The invoice number being debited, so both documents can be matched
  • That invoice’s date and total, and what the invoice comes to after the debit
  • The reason — undercharge, late-agreed extras, rate correction
  • The additional lines, taxed at the rate the invoice used
  • A total presented as extra owed, never folded silently into the original

A worked additional charge

The pattern mirrors a partial credit in reverse: tax follows the original invoice rate on the added amount only. Take an invoice totalling $2,400.00 where $180.00 of delivery was left off. The debit note bills the $180.00 plus its tax, and states the adjusted invoice total.

The customer now owes the original invoice total plus $194.85. The invoice itself is unchanged, which is what lets both documents be filed against each other.

Debit an invoice you already made

If the invoice was created here, open it and convert it. The debit note keeps the customer and the line items, carries the invoice number, date and total across, and warns you if the debit note is dated before the invoice or if the invoice number or reason is missing. The PDF, Word and Excel files show the original total and the total after the debit.

The invoice stays in your list untouched. Both documents can be produced separately when either is asked for.

Debit note vs credit note

A credit note reduces what the customer owes; a debit note increases it. Both reference a specific invoice, both carry a reason, and neither rewrites the original. Whether a debit note is required, how it must be numbered, and how its tax is reported depend on where you trade and how you are registered. This tool produces the document; it does not file anything and is not tax advice.
