Bill the work, not the goods
Service Invoice Template & Generator
Bill work you performed rather than goods you shipped. Enter the period the work covers, what was done, the rate it was billed at and any expenses you are passing on, and the invoice totals itself. Download it as PDF, Word or Excel, or print blank numbered forms for the van.

What makes a service invoice different from a goods invoice
A goods invoice has a shipping address, a quantity of stock and often a tracking number. A service invoice has none of those, and the fields that matter instead are the period the work covers, the basis the rate is charged on, and a description precise enough that the person approving it can match it to what they agreed. Put a delivery date on a service invoice and there is nothing to deliver; put the month worked and the customer can check it against their own records.
That is the usual reason a service invoice comes back unpaid. It is not the amount. It is that the approver cannot tell which month or which piece of work the line refers to, so it sits in a queue until somebody remembers to ask.
- The period the work covers, not just the invoice date
- What was actually done, described so it matches the agreement
- The basis of the rate — hour, day, fixed fee, or unit of service
- Who performed it, where that affects billing
- Expenses passed on at cost, listed separately from your own charges
- A purchase order or work order reference, where the client issues one
Hourly, fixed fee or milestone
These three billing shapes are not interchangeable, and the invoice should say which one it is. An hourly invoice states the hours and the rate and lets the customer multiply them; if the hours are not shown, the customer has to take the total on trust, and the first thing they do is query it. A fixed-fee invoice states the deliverable and the fee, and normally references the agreement that fixed it. A milestone invoice bills a named stage of a longer engagement and should say which stage, because the next one will look almost identical.
Mixing shapes on one invoice is what causes arguments. If a fixed-fee project picked up extra work at an hourly rate, bill the extra work on its own line with the rate shown, rather than folding it into the fee and hoping nobody asks.
Expenses are not charges for your work
Travel, materials bought for the job, software licences and similar costs are usually passed through at cost. Listing them inside a single total hides what you actually earned and invites a question about the whole invoice. Keep them as separate lines, describe them as expenses, and state whether they are marked up. Where a client has agreed a cap, the cap belongs on the invoice too, in the notes.
How expenses and your own charges are treated for tax depends on where you trade and how you are registered, and it is not something this tool decides for you.
Service invoice, timesheet, statement or receipt
These four get used in place of one another, and each substitution loses something the recipient needed.
- Service invoice
- Requests payment for work performed over a stated period, at a stated rate or fee.
- Timesheet invoice
- The same request with a dated record of hours attached, used where the client approves time before it is billed.
- Statement
- A summary of everything on an account over a period. It is not a demand for payment and does not replace any single invoice.
- Receipt
- Confirms money has arrived. Issued after payment, never in place of the request for it.
Repeat billing, without retyping
Most service invoices recur monthly against the same client, the same rate and the same reference. Your clients and items are remembered in this browser, so the second month is a matter of changing the period and the hours. Numbers run consecutively, and the invoice can be downloaded as PDF for sending or as Excel where a client needs it in a spreadsheet.
This tool produces a business invoice. Whether a service invoice is required, what it must contain and how the supply is treated for tax depend on where you trade and how you are registered.
